This means you have access to a wide range of features, savings and rewards to help you easily book and manage your business’ travel – all included as part of your Qantas Business Rewards membership.
Here are some helpful hints to help you navigate your new booking experience.
You can easily book and manage your business’ flights, hotels and car hire all in one place, directly from your Business Account. And unlock bigger rewards and savings sooner with the ability to count points across your entire trip towards your membership level, from car hire and Qantas Hotels bookings to eligible Qantas and Jetstar flights. Plus, by booking your hotels through your Business Account you earn even more – up to 6 points per $1 spent.
When making a Qantas Hotels booking, remember to accept the Qantas Hotels Terms & Conditions prior to finalising your hotel booking.
It's always best to store your travellers within your Business Account for ease of booking, but we understand that sometimes, you might not have all your travellers details saved in your Business Account.
When you are making a booking for a traveller who is not stored in your Business Account, enter their personal details and then click the confirm button prior to proceeding. You can find out more on making the most out of the stored traveller feature in our how to guide.
If you are looking to select a seat for your flight you can do this once you have completed your booking. Simply navigate to the Manage Trips page, locate your trip, identify the flight and click the ‘select seat’ button.
The new Trip feature in your Qantas Business Rewards Account allows you to easily view and manage all your business travel in one place.
Once you have searched and selected your preferred Flight, Qantas Hotel or Car Hire, upon checkout you will be prompted to save this booking to a new or existing ‘Trip’. When creating a Trip, you need to enter a name and description (if relevant), which is helpful for easily managing your booking activity, particularly if there are multiple people accessing a trip. The Trip description field allows you to capture key information, such as project names, cost centres and more.
During the booking process, look out for the ‘Select a Trip’ option where you need to either create a new trip or add your booking to an existing trip.
On the ‘Manage Trips’ tab you will be able to see and manage all your business’ trips. To add to an existing trip, click on the trip you want to add to and navigate to the top of the page where the options to add to your trip will be visible . Once you have selected to add either a Flight, Qantas Hotel or Car Hire to your trip, you will be taken to the usual booking search widget. From here, you will complete the booking process as usual, and once finalised your new booking will be added to the Trip you selected. You can add to your trip at any time.
You can select to add your booking to a trip either via the ‘Manage Trips’ page, or through the select a trip function during checkout (by selecting your preferred trip from the drop-down)
Looking to create and manage a travel policy for your business?
When you select your account name in the top right-hand corner of your Business Account, in the drop down you will see the link to ‘Travel Policy’. On this page you can set up a travel policy that will apply to all bookings made for your business. Your policy can be as flexible or strict as your business needs require – you do not need to establish a criteria against each option, if something is not relevant to your business, you have the option to leave it blank. It’s important to remember that setting a travel policy will not stop an out of policy booking from being made, however it will be clear to the booker that their selected Flight, Qantas Hotel or Car Hire does not meet the requirements of your travel policy.
Once you have established your travel policy, you will be able to access detailed reporting on compliance within your Reporting page – you can use this information to identify areas to improve or help drive efficiencies.
When setting up your Travel policy, hover over each of the (i) symbols for an explanation of each criteria
In your Business Account you have access to real-time reporting and analytics on your business' travel spend and behaviour. Through the reporting page you will have access to view your business' spend on Flights, Qantas Hotels and Car Hire, along with CO2 emissions. Once you have established your business' Travel Policy you will also be able to access detailed information regarding Travel Policy compliance across your business.
