travel policy

Help your team book travel within your business needs  

Set up a travel policy that works for your business. Whether you only want to offer premium cabins on longer flights, hotels with a flexible cancellation policy, or bookings at a certain price, you can create dynamic rules, so each policy is as firm or flexible as your business needs require.  

Benefits of creating a default travel policy

A default travel policy allows you to outline rules and procedures that guide your employees when booking travel for business purposes. You will be able to customise your business’ travel policy to define guidelines when booking flights, hotels and car hire. Aspects of travel bookings that you will be able to define include:

Flights

  • Cabin class for domestic and international travel
  • Budget
  • Lowest logic fare details
  • Booking window
  • Refundable or changeable tickets

Hotels

  • Booking window
  • Cancellation policy
  • Experience (hotel star rating)

Car Hire

  • Car category
  • Price

A default travel policy will apply to all travellers within a business. All Full Access User’s will have the ability to manage and edit the business’ default travel policy.

Once your default travel policy has been saved, these new guidelines will be displayed within the booking flow and your travellers will be notified when making a booking that is out of policy.

Upon selecting the fare, there will be a pop-up indicating which policy rules that have been flagged in the booking as out of policy. The booker will have the option to proceed with the booking or go back to their search options.

If the booker does proceed with booking an activity that is out of policy, there will be a persistent ‘Out of Policy’ indicator throughout the remaining checkout steps. This feature will not stop a booker from proceeding with the booking.

Within your real-time reporting, you will be able to track policy compliance and view which bookers have been booking within policy guidelines.
