Make sure your details are up to date for your business and yourself

Your Qantas Business Rewards Account contains important information about both your business, and you as an account user. It's important to make sure your profiles are complete and up to date so we can provide you with the best possible experience when using your Business Account. This includes relevant account updates and access to exclusive offers.

The difference between your business and your personal profile

Business Profile

Your business profile is where details about your business is kept. This includes things like your business size, industry, location and contact information. It also allows you to select the expenditure categories, for which you would be interested in earning points for your business.

Personal Profile

Your personal profile is where your information about you as an individual is kept. This includes your role in the business, your Qantas Frequent Flyer number, email address and mobile phone number (so you can use features like SMS two-factor authentication when you log in). You can choose your preferences for the kinds of offers and content you would like to see; and select whether you are someone who coordinates the travel undertaken in your business. You can also change your password here, if required.

Give your employees the access to your account that you choose

By adding relevant people as users in your Qantas Business Rewards Account you can give them access to a wide array of features to help save them (and your business) time and money. It also ensures everyone in your business knows how they can contribute towards earning Qantas Points on the business' everyday expenses.

You can invite new users to access your Business Account - as the person adding them, you are able to specify their access or permissions depending on their role in the business. This can allow users to:

  • Search and book flights, hotels and car hire
  • Set up a travel policy
  • Add and manage travellers within your business
  • See your business points and point activity
  • Transfer your business' points
  • Manage company travel bookings
  • Manage and use company credit cards
  • Add and manage other users
  • View real-time reporting and analytics
  • Use your business points directly from your Business Account to redeem flights

To add users to your account, simply go to the ‘Add and manage people' tab, and click ‘invite account users'. Once users are added they can be provided access to manage various account functions according to the permissions they are given. These are clearly displayed on the ‘Manager Users’ page within your Business Account. If the people in your account leave your business, you can easily remove them from your Business Account.

Save time by storing your travellers

If you have employees or contractors in your business who travel regularly, you can add them to your Business Account as a stored traveller. By storing your travellers' Frequent Flyer details, you can automatically populate their details when making flight, hotel or car hire bookings, which saves you precious time.

When you add a traveller, there is also an option to check ‘Enable Frequent Flyer self-booking feature for this traveller'. If selected, they then just need to log into their Frequent Flyer Account, open ‘Book a trip’ and turn the toggle on to indicate ‘travelling for work’ to, access your business' member savings on eligible fares and earn points for your business (in addition to the Qantas Points, Status Credits and the Flyer Bonus they earn as an individual on that flight).

When you add a traveller, there is also an option to check ‘Enable Frequent Flyer self-booking feature for this traveller'. If selected, this means the traveller can self-book through the Qantas App, access your business' member savings on eligible fares and earn points for your business (in addition to the Qantas Points, Status Credits and the Flyer Bonus they earn as an individual on that flight).

Manage People screen

How to store travellers:

  • From your Business Account, hover over your business name to select ‘Manage travellers’ from the dropdown.
  • In the 'Travellers' tab, select 'Add a traveller' and fill in the traveller's details
  • Now when you book flights in your Qantas Business Rewards Account your saved traveller is available
  • You can find out more on making the most out of the stored traveller feature in our how to guide.

Adding users vs storing travellers (what's the difference?) - some examples

Add as a User: Your office manager, Kate, organises all the travel for employees in your business and also takes care of processing the invoices that come in for purchases from your business' suppliers. By adding Kate as a user to your Qantas Business Rewards Account, she is able to:

  • Manage the company travel in one consolidated place
  • Add and store all the traveller details of employees (as well as herself)
  • Store the company credit card for easy use
  • View all upcoming trips and
  • See business points and points activity earned.

Add as a Traveller: Brian is a contractor working for you for six months. In this time he will be travelling between your offices and work sites frequently at the business' expense. He sometimes gets Kate to book flights for him, but he also likes to book himself as his schedule changes frequently when he's out of the office. By storing Brian as a traveller in your Qantas Business Rewards Account:

  • His traveller details and Qantas Frequent Flyer number are stored against your business' ABN, which means each time he flies for your business he will access member savings, earn his own Qantas Points, Status Credits and Flyer Bonus as an individual, but also earn your business points at the same time
  • By storing him as a traveller, Kate the office manager can book his travel, or if you enable self booking, Brian can book his own flights through the Qantas app on the go and still select that he is flying for your business, and still earn points for your business.

Since Brian is only contracting for six months, and has no other role in your account, it's not necessary to add him as an Account User for your account.

TIP: How to make a booking for a traveller who is not stored in your Business Account

It's always best to store all of your travellers within your Business Account for ease of booking, but we understand that sometimes, you might not need be able to save all your travellers details in your Business Account.

Important: when you are booking for a traveller who is not stored in your Business Account, enter their personal details and then select to confirm prior to proceeding.

Streamline payments by storing your company credit cards

Company credit cards

You can also save time by storing up to nine company credit cards in your Qantas Business Rewards Account to use when booking and paying for flights.

When you first use a credit card, select ‘save this card' when finalising payment. It will then be available for selection the next time you make a booking. Note: these cards aren't available through the Qantas App for self-bookers. Credit cards in your personal Frequent Flyer Account are not accessible by anyone else in your company.

Keep an eye on your growing points balance

Much like a bank statement, your points activity statement is where you can go to see all your incoming and outgoing points for a specified date range. You can even download a copy to keep for your records.

Missing points from flights, hotels, car hire or expenses spent with our program partners? The 'claim missing points' function in your account will help guide you through claiming your missing points by either submitting a claim for past flights and hotel bookings, or putting you in touch with a contact from the relevant program partner who will help resolve the issue.

We are constantly looking to improve and update your Business Account features to help make your life as a busy business owner or employee easier, and enable you to make running your business even more rewarding, so keep an eye out for announcements of new features coming soon.
