A 'trip' is a combination of several individual bookings from flights, hotels and car hire made for the business, for one or multiple individuals. A 'trip' allows you to see all travel in a single view and filter to refine your results.
Any flight, hotel and car hire booked in your Qantas Business Rewards Account is eligible to be added to a trip.
You will be prompted to create a new trip when creating your first flight, hotel or car hire booking, which will then allow you to add additional bookings for that traveller at a later stage.
You can add additional travel bookings to an existing trip via ‘Manage trips’. Simply select which travel category you wish to add (Flight, Hotel, Car hire) while viewing the relevant trip, and follow the booking process.
No, currently you are unable to merge different activities into a trip. You can, however, edit a trip name.
No, once a booking has been added to a trip it cannot be removed. If a booking within a trip has been cancelled it will be removed, however you can view cancelled bookings by toggling the 'view cancelled bookings' option within the ‘Trip details’ page.
Once all travel within a trip has been completed, the trip will move to 'Completed' status. In your Qantas Business Rewards Account, under ‘Manage trip’, you can select the 'Completed' tab to view any trips which have been completed.

To cancel your trip, you will need to cancel the individual bookings that make up your trip. You can do this by opening the trip and selecting cancel for each of the bookings.
A travel policy is a set of business' rules and procedures that outline how your employees should book travel for business purposes. For example, whether you only want to offer premium cabins on longer flights, hotels with a flexible cancellation policy, or bookings at a certain price, you can set up rules so that each policy is as firm or flexible as your business needs require.
A default travel policy is a travel policy that applies to all travellers in your business.
The Reporting section of your Qantas Business Rewards Account provides an easy, convenient way for Account holders and nominees with full access permission to keep track of booking activity, spend and if your travel policy is enabled, your travellers’ compliance to the business travel policy. This new enhancement now allows for real-time reporting, providing more flexibility to users who can access and download data as and when they need.
This functionality is available to all Qantas Business Rewards members as part of the membership and does not require any integration with other systems.
Please note if your booking was made through a travel agent, you will be able to view the booking however no transaction value will be provided.
You will also be able to view travel policy compliance across your business if you have set one up in your Business Account.
Only Flight Redemptions (Classic Flight Rewards bookings) where the points were redeemed directly from your Qantas Business Rewards Account, will appear on the reports. If any points were redeemed via an individual Frequent Flyer account, even if the ABN is entered, we will only show the cash equivalent amount on the report.
For example, if a customer chooses to change a Classic Flight Reward originally made via their Frequent Flyer account, and then pays a fare difference (such as the taxes), we will only show the ‘cash’ amount paid, not the equivalent amount of points. However, if a change is paid for using points directly from the Qantas Business Rewards Account, then both the points amount, and cash transactions will appear.
When you access Reporting in your Business Account you will be able to see real-time booking activity and spend.
Account Holders and nominees with the relevant user permissions can log into your Business Account, click ‘Reporting’ on the navigation bar and view and filter the business travel expense reports.
Trip transactions will be stored in your Qantas Business Rewards Account for two years. After this time, you are unable to view these transactions and the data will be deleted in accordance with our data retention policies.
You can download the reports in order to keep the data before it expires.
Only nominated users with full permissions can access these reports, so you can choose who is granted access. You can update and limit your permissions in the Manage People section of your Qantas Business Rewards Account.
In your Business Account you will be able to see a real-time view of business expenditure and if your travel policy is enabled you can view your travellers’ compliance to this, this data will show for bookings made directly through Qantas. If you book through a travel agent you will see the bookings, however the amount paid for a booking will not show.
No, due to data retention policies, once you deactivate your account, your data will be deleted.
